Facilities Management

Facilities Work Order Management

Go Werks Pro coordinates facilities work order management from the first reported issue through triage, assignment, completion verification and closeout. Requests are prioritized by category and urgency, with status updates, service records and escalation requirements defined by your facilities program.

The work order problem

An issue reported is not an issue resolved.

Without a system, requests get lost, priorities blur, and no one owns the outcome. Work order management gives every facility issue a clear path from reported to verified — with one point of contact and a record of what happened.

The lifecycle

From intake to verified close.

Intake

Reported via Property Concierge™.

Preparing a useful work order

Work order management: describe the request, confirm authorization, then verify closeout while tracking unresolved items

A clear request gives the coordinator enough information to understand the issue before assigning a visit. Include the site address, affected room or asset, a description of what changed, when it started and a contact who can explain the problem. Attach relevant photographs when available, while avoiding unnecessary personal information. Describe observed conditions rather than guessing a diagnosis.

Separate the requested outcome from the approval to spend. Record who may authorize work, any agreed approval limit and the person to contact if the scope changes. Access instructions, operating hours and tenant restrictions help the assigned provider plan a visit. If a request involves an immediate threat to safety, follow the property’s emergency procedure and contact the appropriate emergency service; an ordinary work order is not an emergency response channel.

At closeout, check that the record explains what was done, when it was completed and what evidence supports completion. Keep unresolved items visible with an owner and a next step. A completed visit may identify additional work that still needs approval; those items should not disappear into a closed request.
