Facilities Management

Facilities Vendor Management & Consolidation

Go Werks Pro provides facilities vendor management for GWP Pros, approved specialty providers and client vendors. The program coordinates service scopes, assignments, schedules, credential records and completion, so property teams have one point of accountability while retaining vendors they want to keep.

The vendor problem

Too many vendors, too little accountability.

A separate company for cleaning, floors, HVAC, landscaping and repairs means many invoices, inconsistent standards and no single owner when something is missed. Vendor consolidation puts one accountable layer over all of it.

Three resource types

However your work gets sourced.

GWP Pros

Direct field resources where appropriate, briefed to your standard.

Approved Providers

Qualified specialty businesses for regulated and specialized trades.

Client Vendors

Vendors you want to keep — coordinated and verified through GWP.

Vendor management records to prepare

Begin with a current provider list organized by site and service category. For each provider, record the business name, primary contact, agreed scope, contract dates and the person who can approve changes. Include existing service schedules and open issues so a transition does not lose work already in progress.

Keep qualification records separate from performance records. Required licenses, insurance documentation and site access requirements depend on the service and location; note who reviewed each item and when it needs another check. A document being on file does not by itself confirm that every proposed task is within the provider’s approved scope.

For performance review, use comparable information: completed visits, unresolved exceptions, documented rework and responsiveness to agreed requests. Record the reason for an exception before drawing conclusions. A delayed visit caused by unavailable access calls for a different response from work that was performed incorrectly.

Agree on the handoff process before changing providers. Identify outstanding requests, records to transfer, access permissions to review and the person responsible for confirming continuity. Existing vendors can remain part of a coordinated program when their scope and responsibilities are clear.

Questions

Frequently asked

Can we keep our existing vendors?
Yes. Vendors you want to keep can remain in the operating model — coordinated, scheduled and verified through Go Werks Pro, alongside GWP Pros and approved providers.
How do you track credentials and insurance?
As part of the coordination layer, provider credential and insurance records are maintained (WerksLedger™) and referenced on assignment. We can share documentation as part of a proposal.
Does Go Werks Pro perform regulated trades?
Regulated trades such as HVAC, plumbing, electrical and roofing are coordinated through approved, qualified providers — you keep one point of contact without GWP implying it self-performs regulated work.
